Billing MedTech (hereinafter “we,” “us,” or “our”) is a medical billing company based in the State of Texas. We are committed to protecting the privacy and confidentiality of all protected health information (“PHI”) and personally identifiable information (“PII”) that we create, receive, maintain, or transmit on behalf of our clients and their patients. This Privacy Policy outlines our practices for the collection, use, and safeguarding of this information in compliance with the Health Insurance Portability and Accountability Act of 1996 (HIPAA).

COLLECTING YOUR PERSONAL DATA

We collect and use information solely for the purposes of performing our contracted services, which include, but are not limited to:

  • Submitting claims to health plans and insurance companies for reimbursement of services rendered by our clients. This involves using PHI such as patient names, addresses, insurance details, diagnosis codes, and procedure codes.
  • Conducting activities such as quality assessment, auditing, and other administrative functions necessary to support our clients’ practices and to ensure the proper functioning of our services.
  • While we do not provide direct medical treatment, we may use and disclose PHI to coordinate care with other healthcare providers or as otherwise required for the treatment of a patient.

We collect only the minimum necessary amount of PHI required to perform our services and do so through secure, HIPAA-compliant channels. We do not collect or store any financial information, such as credit card numbers or banking details, from patients or clients on our website or through any of our services.

DISCLOSURE OF INFORMATION

Billing MedTech will not disclose your PHI or PII to any third party, except as follows:
  • We disclose PHI to the healthcare provider who is the subject of the billing services as part of our contracted duties.
  • We disclose PHI to the patient’s health plan or insurance company to obtain payment for healthcare services.
  • We will disclose information when compelled to do so by a subpoena, court order, search warrant, or as otherwise required by federal or state law, including but not limited to public health and law enforcement purposes.
  • Upon a valid request from a patient, we will provide access to their medical and billing records in our possession, in accordance with HIPAA regulations.
We do not share your information with any third parties for any reason other than for the services described above. We do not sell, rent, or trade any PHI or PII for any purpose, including marketing or commercial gain. We do not engage with any third-party service providers who would have access to PHI.

DATA SECURITY

Protecting your information is our highest priority. We have implemented strong administrative, physical, and technical safeguards to ensure the confidentiality, integrity, and availability of all PHI. Our team is trained on strict policies and procedures for handling sensitive data. Access to our physical facilities and computer systems is tightly controlled, ensuring that only authorized personnel can handle your information. Technically, we use robust security measures like data encryption and multi-factor authentication for our systems. While no system is completely foolproof, we are committed to using industry-standard security practices and will always address any security concerns or breaches in accordance with HIPAA regulations.

YOUR PRIVACY RIGHTS

As a patient whose information we handle, you have certain rights under HIPAA and Texas law, including:

  • You have the right to inspect and obtain a copy of the PHI that we maintain in our designated record set.
  • You have the right to request an amendment of your PHI that you believe is inaccurate or incomplete.
  • You have the right to receive an accounting of certain disclosures of your PHI we have made.
  • You may request a restriction on our use or disclosure of your PHI for treatment, payment, or healthcare operations, although we are not required to agree to all such requests.
To exercise any of these rights, please submit a written request to the healthcare provider who is the Covered Entity and our client.

Children’s Privacy

We do not directly market to or collect PHI from children. The PHI of minors is collected and managed on behalf of our clients, who are healthcare providers. When handling such information, we are guided by and comply with the specific requirements of HIPAA and state laws regarding the privacy of a minor’s health information.

UPDATES TO THIS POLICY

We may update this Privacy Policy from time to time to reflect changes in our practices or in legal requirements. When we do, we will post the revised policy on our website with a new effective date. Your continued use of our services after any changes means you accept the updated policy.
